At Sysinfy, we are committed to delivering high-quality IT and web solutions. We understand that circumstances can change, and this Refund Policy outlines the conditions under which refunds may be requested. Please read this policy carefully before engaging our services.
2. Non-Refundable Advance Payment
All projects require an advance payment before work commences. This advance payment is strictly non-refundable as it covers:
- Initial project planning, research, and consultation time
- Resource allocation and scheduling
- Domain registration (if applicable) — domain registration fees are non-refundable once registered
- Third‑party tools or licenses procured on your behalf
By making the advance payment, you acknowledge and agree to this non-refundable policy.
3. Refund Eligibility
3.1 Project Cancellation by Client
If you cancel a project after work has commenced, refunds will be calculated as follows:
- Cancellation within 48 hours of advance payment (before work begins): Up to 80 % of the advance may be refunded, minus administrative and processing fees
- Cancellation after work has begun but before 25 % project completion: 50 % of the advance may be refunded at Sysinfy's discretion
- Cancellation after 25 % or more project completion: No refund on advance payment; any additional milestone payments made will be assessed based on work delivered
- Cancellation after project delivery: No refund
3.2 Project Cancellation by Sysinfy
If Sysinfy cancels a project due to reasons within our control (e.g., inability to deliver the agreed scope), a full refund of amounts paid will be provided within 14 business days.
3.3 Hosting and Maintenance Services
For subscription‑based services such as web hosting, email hosting, and maintenance plans:
- Annual plans cancelled within 7 days of purchase (and not yet used): eligible for a pro‑rated refund minus setup fees
- Annual plans cancelled after 7 days: no refund; service remains active until the end of the billing period
- Monthly plans are non‑refundable after the billing cycle has begun
3.4 Digital Marketing and SEO Services
Digital marketing and SEO services involve ongoing effort and third‑party ad spend. These services are non‑refundable once the campaign has been launched. If you wish to pause or cancel, notify us in writing and we will stop further billing.
4. Dissatisfaction with Deliverables
If you are not satisfied with a deliverable, we encourage you to:
- Communicate your specific concerns to our project team in writing
- Allow us to address the issues through the agreed revision rounds
- Escalate to our management team if the concern is unresolved after revisions
Refunds are not issued simply because you changed your mind about the project direction after delivery. However, if Sysinfy fails to deliver what was explicitly agreed in the project scope, we will work to resolve the issue or offer a partial credit.
5. Non-Refundable Items
The following are strictly non‑refundable under all circumstances:
- Domain registration fees
- Third‑party software licenses or subscriptions procured for your project
- SSL certificates once issued
- Payment gateway setup fees
- Fees for completed and delivered work, regardless of whether it is used
- Rush or priority processing fees
6. How to Request a Refund
To request a refund, please follow these steps:
- Send a written refund request to sysinfyteam@gmail.com with your project name, invoice number, and the reason for the request
- Our team will acknowledge your request within 2 business days
- We will review your request and respond with our decision within 7 business days
- Approved refunds will be processed within 10–14 business days to the original payment method
7. Dispute Resolution
We encourage clients to reach out to us directly to resolve any billing or service disputes before initiating a chargeback with their bank or payment provider. Unauthorized chargebacks for services duly rendered may result in suspension of services and legal action to recover outstanding amounts.
8. Changes to This Policy
Sysinfy reserves the right to update this Refund Policy at any time. The current policy applicable to your project is the one in effect at the time of your purchase or project agreement.
